The HR team currently consists of the HR Director, Head of HR, Senior Talent & Development Manager, two HR Managers, Senior HR Officer, HR Officer, two HR Assistants, HR Administrator and Senior Recruitment Manager. We are a close knit, friendly and hardworking team who are client focused and enjoy the challenges of working for a medium sized law Firm.

Purpose of job:

As Recruitment Assistant you will work closely with the Senior Recruitment Manager to provide full support to the Recruitment function for the firm. This role will allow the successful individual to support many aspects of the recruitment cycle, to build relationships internally and externally and to be seen as a strong ambassador for Kingsley Napley. 

Specific duties will include:

  • Working closely with the Senior Recruitment Manager for all live roles across the firm and overseeing the full recruitment cycle for paralegal and business support roles
  • Using the firm’s recruitment portal (AllHires) to advertise new roles and track applications; ensuring that information is kept up to date and within appropriate folders for management reporting purposes
  • Reporting on the effectiveness of recruitment agencies, time to hire and equal opportunities for candidates and new starters
  • Writing adverts in a clear, professional and engaging tone and advertising on the Firm’s website, recruitment portal and social media sites- putting forward suggestions of alternative job boards and publications
  • Liaising with candidates and recruitment agencies to arrange interview dates and times
  • Building and maintaining relationships with recruitment agencies and direct candidates- and collecting timely feedback after interviews
  • Taking ownership of diary management; coordinating all interviews and meeting rooms
  • Preparing interview packs and assisting in drafting job descriptions and interviewing questions
  • Carrying out phone screenings for candidates, meeting candidates for interviews, leading on interviews themselves (virtually and in person) and setting up case studies/ testing
  • Coordination of new starters; ensuring that all internal documents are updated with new starter information and liaising with colleagues in business support teams
  • Assisting in the organisation of assessment days for graduates when required and attending law careers fairs both virtually and in person
  • Showing a commitment to, and attending, Responsible Business Groups and committees and updating HR team where necessary
  • Overseeing the Firm’s work experience programme and liaising with relevant practice areas
  • Weekly processing of recruitment invoices and logging them onto the system
  • Responding to speculative emails and applications in a timely manner, creating talent pools of candidates for future roles
  • Ensuring current agreed terms of business are held on file for all recruitment agencies and ensuring recruitment agency contact details are up to date
  • Drafting fortnightly recruitment updates to recruitment agencies
  • Assisting the Recruitment Manager with project work around recruitment and selection and carrying out research for specific roles and salary bandings
  • Collating salary surveys from recruitment agencies throughout the year and assisting with collating all information for salary review meetings
  • Assisting the wider HR team with the new starter process- contracts, offer letters and induction programmes as and when needed
  • Liaising with relevant managers regarding temporary cover and organising as appropriate
  • Archiving and filing of interview packs, ensuring the team are GDPR compliant
  • Any other ad hoc administrative duties from the HR team may be given.
